业务方面(岗位特定)

 

·         Maintain the calendar and appointments of the Hotel Manager.

维护酒店经理日程和会议。

·         Ensure with all Department heads that intra departmental and inter-departmental administrative processes are both efficient and productive and continuously seek to improve and rationalize on this.

确保所有部门领导在部门内和各部门之间的行政过程既有效率又有成效,并不断寻求改进和合理化。

·         Establish an efficient network of interdepartmental communications so as to support our commitment to multi-tasking of our teams.

·         Establish practical solutions for incoming and outgoing mail and courier shipments.

为邮件的收件和寄件以及快递和货运制定实用的解决方案。

·         Coordinate with all departments to establish standards in terms of Office Decorum and both electronic and physical filing, i.e. file name conventions, physical files and labels.

·         Control over communication and other expenses and ensures that VOIP solutions are used at all times for regional and international communications.

·         Oversee the Travel request process and purchase of travel services for employees on Business against Group Policy & Procedures.

·         Assist the Hotel Manager and Head of Finance with annual departmental budget preparation, replacements of FF&E and capital projects and provide supporting documentation when necessary.

·         Maintain an Annual Administrative Planner prepared by the Hotel’s senior management committee outlining all major administrative tasks and responsibilities and license/regulatory tasks (i.e. life safety drills) for the calendar year and trace tasks to be completed.

维护酒店高级管理委员会编制的年度行政规划,概述历年的所有主要行政任务和职责以及许可/监管任务(即生命安全演习),追踪任务完成。

·         Maintain a trace list of all licenses and major warranties and service agreements which is to be updated annually.

·         Work with Head of Finance and Administrator to optimize and streamline inventory, purchasing, approval, invoicing and payment processes.

与财务部总监和行政助理合作,优化和简化库存、采购、审批、发票和付款流程。

·         Ensures that operational equipment, computers, other administrative and operating supplies, assets are maintained in excellent condition and conduct annual inventory.

  • Review weekly/monthly work schedules for operational guest service      departments to ensure that supervisory coverage is in order.

  • Establish appropriate duty manager schedules for weekends and      Public Holidays.

·         Participate in the hotel’s Duty Manager Roster.

  • Conduct frequent and thorough inspections together with the      department heads of Engineering, Housekeeping, Security and Human      Resources on cleanliness and organization of the hotel’s back of the house      and employee areas.

定期与工程部,客房部,安保部和人力资源部的负责人对酒店后区和员工区域按照清洁标准进行彻底的检查。

  • Assist with external communication if required, both as a back-up      in terms of incoming external calls or with the follow up of hotel events,      licenses and permits etc..

  • Keep track on KPIs and review in conjunction with the Marketing      & Distribution support function.

·         Attend meetings with the management team.

参加管理团队例会。

  • Be available and on duty during peak periods or special events.      Participate in the MOD schedule.

在高峰期或特别活动期间值班。加入经理值班表。

·         Assist Human Resources department with planning and preparation of HR events, including the annual “Cleaning your Kingdom” for all work spaces, offices, stores etc. before Chinese New Year.

协助人力资源部门规划和准备人力资源活动,包括农历新年前对所有工作场所、办公室、商店等的“清洁你的王国”活动。

·         Be proficient with the technologies and systems applied at the hotel.

精通酒店应用的技术和系统。
