Title:      Concierge Manager      

Company:      GSA Property Management  (Shanghai) Ltd Beijing Branch      

Location:      Beijing      

Working Period:       Full time       

Reports to:       Director of Operations,  GSA China

We are committed to the personal development  and training of our teams.                                                                               Key Objectives of the Role         GSA manages building operations of  Schwarzman College in Beijing, a state-of-the-art facility built for  educating the next generation of global leaders. The college is in its 2nd  year operations. GSA has since expanded its scope of works and now is looking  for a concierge manager to provide professional concierge services to the  College stakeholders. The key objectives of this role include:  ·          Act as single point of contact to provide exclusive services  to guests, VIPs and visiting professors;  ·          Live in the College to be 24/7 on-call for all key  stakeholders relevant to this role;  ·          Manage arrival schedule of guests, VIPs and visiting  professors;  ·          Coordinate with different jurisdictions to arrange airport  pickups;  ·          Manage service vendors such as airport transfer, private tour,  language tutors etc;  ·          Support the arrival induction of guests, VIPs and visiting  professors;  ·          Provide day-to-day support to newly arrived guests;  ·          Take care of personal requirements of guests and family  members;  ·          Assist in guest lectures and relevant events;  ·          Manage room amenity stock for faculty apartments;  ·          Maintenance a high level of confidentiality at all times.            


 


                                                                                 Key Responsibilities         Manage Arrival  Experience for College Guests  ·          Coordinate  with Academic Affairs team on distinguished VIPs or professors arrival  scheduling;  ·          Arrange  airport pickup whereas required;  ·          Ensure guest  rooms prepared to a high level before arrival;  ·          Communicate  with guests or professors on arrival arrangement if required;  College  Induction  ·          Provide a welcoming and comprehensive induction to guests or professors,  including room induction;  ·          Assist in critical on-boarding items such as setting up internal wifi  account, opening bank account, register SIM card for phones etc;  ·          Assist in familiarisation of college environment and wider Tsinghua  amenities;  ·          On call to answer enquiries and questions from guests or professors;     Personal  Assistance  ·          Support in day to day personal needs from guests, professors and their  family members;  ·          Work with agencies to provide local tour itineraries whereas required;  ·          Assist in guest lectures and relevant events;  ·          On call to deal with emergencies of guests or professors, including  their family members;     Vendor  Management  •          Manage and maintain relationship with airport transfer, tour vendor  etc;  •          Support in acquire other service vendors whereas required;     Working  with GSA On-site Team  ·          Support GSA’s building operations whereas required;  ·          Attend cross-trainings to understand other areas of building  operations;  ·          Contribute on accumulating local knowledge to benefit a wider college community.                                                                                          Personal Attributes             ·          Excellent  interpersonal and communication skills  ·          Exceptional  problem solving skills   ·          Strong coordination  skills, savvy in getting things done  ·          Enjoy  meeting people from different cultural backgrounds  ·          Possess a  good understanding on western values and culture  ·          Willing to  live in a college environment and able to adjust to flexible working hours  when required  ·          Ability to  deal with sensitive information with discretion and to maintain  confidentiality at all times  ·          Excellent  computer skills including very high proficiency in Microsoft Office Outlook,  Word, Excel and PowerPoint                                                                                 Experience  & Knowledge         Essential  ·          Fluent speaker  in English and Mandarin, excellent in English writing;  ·          Possess a good  level of local knowledge;  ·          Minimum 2  years working experience in high end hotel concierge role or international  education associated roles.            Desirable  ·          Overseas  educated to a degree level or higher;  ·          Overseas  working experiences in major western countries are preferable;  ·          Experience  in serving high profile people is a bonus.                                                                                 Our Culture & Values               WHY: We Make  A Real Difference to Students’ Lives     HOW: We use  our track record; expertise and knowledge to deliver the best culturally led  student living experience     WHAT: We  develop, manage and invest in student communities on a global basis                       VALUE                 DEFINITION                     INTEGRITY                      A professional approach, we demonstrate    integrity, honesty and fairness in every action taken.                     COMMITMENT                      A result driven business, we proactively    focus on the customer taking individual responsibility to drive performance                     ENERGY                      An enthusiastic and positive working    environment, we embrace cultural diversity and develop/nurture talent.
