POSITION SUMMARY:
Provide efficient and comprehensive secretarial services to executive staff to meet the needs of customers.
RESPONSIBILITIES:
- Co-ordinate and arranges activities accorded by the General Manager’s office.
- Appraise GM of the day to day activities of the section.
- Arrange appointments and meetings for the GM, recording same in diary and ensure the GM has the appropriate documentation for each appointment.
- Prepare meeting minutes such as Morning Briefing, Department Heads Meeting, Executive Committee Meeting and others as directed by the GM.
- Arrange room and restaurant reservations for VIP guests / personnel.
- Prepare welcome letters for GM’s signature.
- Perform hostess duties at staff, guest and other functions as required.
- Assesse priorities of work and assist in organizing GM’s priorities.
- Prepare replies to routine correspondence for GM’s signature.
- Take dictation of correspondence as required.
- Complete administrative work for the Executive Office.
- Maintain a filing and trace system.
- Answer all incoming calls for the GM and either transfer, redirect or take a message.
- Conduct secretary training as request.
- Maintain the strictest confidentiality at all times on all matters.
- Prepare reports to Owning Company and Corporate Office as request.
- Other job task which be required by GM.
ABILITIES / KEY COMPETENCIES / SKILLS:
- Proficient in the use of Microsoft Office.
- Strong type and translate ability.
- Fluent in English.
- Good communications and writing skills both in English and local language.
- Tasks and Project Management.
EDUCATION / CERTIFICATES / EXPERIENCE:
- Bachelor degree in Business or Secretarial Study.
- 3 year of secretarial experience, or an equivalent combination of education and experience.
