 SCOPE

The incumbent in this position is responsible for managing the Property Department in order to order to meet the business requirements with efficiency and effectiveness whilst ensuring satisfaction of our tenants and the highest quality standards.  He / she plans, organizes, directs and controls the day-to-day operations of the Property Department which includes the Leasing Section and the Property Operations.  The Property Department includes 170 apartments and a total of 21,545 sq. m. of office space and showrooms for rental.

MAIN RESPONSIBILITIES

· Leads the Property Office by developing and implementing annual departmental objectives in line with requirements from the Executive Office and conducts regular reviews of such with progress reports.

· Supervises Property Operations, Property Office Reception Counter and Leasing to ensure tenants satisfaction whilst ensuring compliance with relevant standards, policies and procedures.

· Manages the performance of subordinates and motivates them to bring about excellent performance to ensure the efficient running of Property Division.  In conjunction with Section Heads, appraises the performance of all staff level C and above and recommends bonus payment on achievement of annual objectives.

· Develops, implements and continually reviews departmental policies & procedures, practices and standards.

· Prepares the annual revenue & operations budget, Marketing Plan, CAPEX, Manning Guide for the Property Department in coordination with the Leasing Manager and the Property Operations Manager and manages the department within budgetary guidelines.

· Assists the Leasing Manager in handling all enquiries and leads from potential tenants and agents in order to maximize gross operating profit from all leased areas from both rentals and other operating income, in the short, medium and long term.

· Maintains good relations with tenants, handles their complaints and takes corrective actions to ensure their satisfaction.

· Coordinates between various departments, such as Engineering, Security, Health-Club, Hotel Housekeeping, F&B etc. to ensure efficient and responsive service to the tenants.

· Maintains good relationship with the Owner’s office and keeps the Managing Director informed on communications taking place with them.

· Approves the training plan for all front office sections and follows up to ensure compliance and efficiency of training activities.

· Verifies that inventory of fixed assets in apartments & office section is updated and accurate and submits annual report to the Executive Office.

· Assists in chasing outstanding rental invoices in coordination with the Accounting Department.

· Keeps abreast of trends and changes in the real estate market and maintains updated knowledge on local competition, continually informs the Management of any changes and provides suggestions in regards to changes of price strategy if necessary.

· Accomplishes a set of administrative duties such as leading and attending meetings, writing reports/memos and verifies the timely issuance of regular/periodical reports such as monthly O&A report, monthly forecasts, bi-monthly O&A master list in coordination with the Leasing Manager and the Property Operations Manager.
