职位描述

一.

1.负责接听来电, 以专业有效友好的发式与客人进行电话交流, 记录客人需求并准确传达信息给客房销售经理, 并根据宴会销售经理的要求及时给予回复。Handles incoming phone calls in an effective, professional and friendly manner, take records and pass message to Room Sales Manager and give reply as per requirements from Room Sales Manager .

2. 协助客房销售经理及时处理有关价格,团队预定,报价和确认等事宜。按销售经理的要求准备报价书,并于24小时内回复。Assists Room Sales Manager in handle all incoming enquiries relating to rates, group bookings, quotations and confirmation promptly and turn around business quotes agreed by Room Sales Manager within 24 hours.  

3.协助客房销售经理带客人参观酒店,展示酒店可以提供的服务Assist Room Sales Manager conducts on-site client inspections to illustrate available services                 4.按销售总监及客房销售经理的要求协调安排团队活动。Co-ordinates and follow up various groups accorded by the Director of Sales or Room Sales Manager.                     5.协助客房销售经理维护DELPHI系统的客户数据库,保证客户资料的时时更新。根据数据库完成日常市场销售工作。例如,寄送邮件,跟进及回复等。Maintains the Delphi database as appropriate, ensure updated datebase .  Performs routine sales and marketing tasks in conjunction with the database.  Eg. mail-outs, follow up and correspondence                        

二.

1.与客房销售经理回顾已签订的客房团队销售合约,列明已确认和未确认的客房安排细节,联系客户确认或二次确认所有需求后提前7天出团队指令单(GI) .Review signed contracts with Room Sales Manager and prepare hand over list to clarify confirmed and unconfirmed event items, contact clients to confirm or reconfirm all requirements of the group, and generate Group Instruction (GI) 7 days prior to the group arrival date.   2.按团队指令单提前与所有相关部门协调落实团队的准备细节,必要时与客房销售经理一起组织沟通协调会,确保安排准确无误,让客人满意。Communicate with all concerned departments about group instruction details, and organize run down meeting if necessary, to ensure accurate servicse to make clients feel satisfied.                                                   3.在团队组织者到来前检查所有客房的分配符合团队指令单GI的要求,团队组织者到达后,共同确认所有细节保证无误,如果有临时更改,协调确认可行后跟进落实。Supervisors all rooms distribution before group organizer arrive, review all details with the organizer to ensure no mistakes and last minutes changes, and communicate with concerned departments and take action if possible for any changes required.       4.每天协助客房销售经理监控团队未入住及提前离店情况,确保符合团队指令单最低担保房晚的要求。Assist Room Sales Manager to monitor no show and early check out every day, to ensure they are in accordance with group instruction about guaranteed minimum room nights.                             5.跟进大堂、签到区等处的团队指示牌的制做。 Generates Group Signage for Main Lobby, group check in area.                 6.跟进团队付款工作:团队抵店前据合约收取押金,入住期间确认消费账单,团队离店时跟进一次性结账或对信贷客户跟进余款支付。Follow up payment for each groups: follow up deposits as per contract before group arrival,  follow up bills confirmation during staying period, follow up balance clearance upon check out or outstanding payment after check out for credit accounts.                                                   7.关注团队客人满意度,对团队组织者进行满意度调查,收集客人意见及反馈,并反映给相关部门采取相关措施, 不断提高客人满意度。Monitors customer satisfaction, collect  evaluations from organizer,  and give feedbacks to concerned departments to take actions to continuousely improve clients satisfaciton.                                               

三.

1. 按销售总监、经理的要求预约对客及对内会议,并准备会议所需相关文件。 Arrange appointments and meetings with customers and other departments as directed by the Director of Sales, Room Sales Manager and prepares the appropriate material for each appointment or meeting.

2. 准确做会议记录,发给相关人员传阅。 Takes minutes of meetings, accurately transcribes and circulates to appropriate recipients.                                     3. 为客房销售部准备各种销售文件、报表、酒店宣传单、宣传册等;Prepare every kind of document, reports, sales collectral, flyers etc. for Room sales team.  

4. 确保所有的报告及所需提供的服务能按时完成。Ensures all reporting and servicing deadlines are met in a timely fashion.

5. 协助销售总监完成每月销售报告及其他报告。Assists the Director of Sales in the preparation and submission of various reports according to corporate and hotel guidelines.

6. 即时处理每日至客房销售部的往来信函。通知送信员发送信件和包裹(店内外);Promptly handles daily in-coming mail and internal correspondence to Catering Sales Dept andInform concierge to send the letter and package.

7.协调,安排客房销售部人员的出差事宜,如机票,食宿及其他。Coordinates & organizes business travel arrangements for Catering sales staff.                                       8.任何时间,对所有的事情严格保密。Maintains strictest confidentiality at all times on all matters.                 9. 建立客房销售部的档案系统。 Maintains a filing and tracing system for the Room Sales Department.

10. 按照酒店的标准接听,转接电话,记录留言。 Answers and handles all incoming telephone calls for the department according to the hotels Standards & Procedures.             11. 根据酒店的政策和程序,负责客房销售部门办公用品的申请及收集。Responsible in inventory control and requisition or purchasing of office supplies for room sales department according to the hotel’s policies and procedures.
