职位描述

工作任务:

SPECIFIC DUTIES

 

文书/协调Clerical / Coordination

1.根据部门经理的要求处理所有的机密和行政事务,保证部门的高效运转。

Perform all secretarial and administrative duties to the standard required by the Department Head, to ensure efficient operations of the department.


2.文字输入、口述记录、起草信件、接听电话、来信归档。

Type, take minutes and dictation, draft letters, handle telephone calls, file and trace correspondence.


3.保证全部门文件的保密和整理工作,当前资料(如备忘录)按主题、年代和编号顺序进行类。

Ensure security and upkeep of the entire department’s files, current references such as memos in accordance to subject matter, chronological and numerical sequence.

Handle and direct all inquiries to the appropriate person.

 

4.协调同事和其他部门的人员关系,确保高效的通讯体制,以满足部门的需要。

Coordinate with colleagues and representatives of other departments to ensure an efficient flow of communication, to and from the department of assignment.

 

5.负责申请及控制办公室和部门的用品供应。

Ensure proper requisitioning and controlling of office and department’s supplies.

 

6.让本部员工了解酒店活动的基本信息,以便推销酒店提供的服务和回答客人的询问。

Ensure personal awareness of the basic information on activities and services within the hotel in order to promote the property’s offerings and be responsive to customer’s inquiries.

 

7.协助部门经理安排的各项会见的时间表,并提醒其准时出席。

Handle all appointments concerning the Department Head and help trace his schedule and engagements.

 

8.确保工作时间办公室有人当值。

Ensure that the office is always manned during work hours.

 

9.熟悉并培训安全部员工部门的表格和行政制度的用途。

Familiarize and train security personnel on usage of forms and administration with the department.

 

10.保管好所有有关员工牵涉到打斗、财产/暴力犯罪等行为的调查案卷。

Maintain case files on all employees who have been in the past involved in fights security violations, crimes against property manned crimes of violence, etc.

 

11.协助进行情况调查:

Assist investigator in the investigation of incidents:

- 按要求协助官方调查人员或对酒店员工盗窃行为进行调查,对女士和女厕所进行搜查取证。

- 在没有女侦探在场的情况下,在调查时对女性进行搜身。

- 根据指示协助警方或其他政府官员处理情况。

- As required, search female personnel and women’s restrooms for evidence in connection with official investigations or theft of hotel / employees property.

- In absence of female House Detective, frisk people under investigation.

- Upon instruction, get in touch with police and other government agencies responsible for the matter at hand.


12.熟悉本部门人员的情况。

For general information purposes, familiarize self with staffing and personnel assignments.

 

13.对部门加班安排进行调整。

Prepare overtime justifications as required.

 

14.将部门资产列表整理归档,协助存放部门物品。

Maintain Loss Prevention’s physical property list and assist in conducting physical inventory upon instruction.

 

15.在主管和所有安全部人员进行事件、事故调查报告的时候提供文书服务。

Provide clerical assistance to supervisors and all Loss Prevention personnel in the preparation of reports of investigation of incidents and accidents.

 

16.保管酒店区域工作的外来施工人员的名单和个人资料。

Maintain control list for contracted workers in the hotel areas.

 

17.保管考勤记录。

Maintain time and attendance reports.

 

18.确保办公室环境整洁有序。

Ensure that the office reflects a professional atmosphere and organization.

 

通讯Communication

1.和同事保持良好的关系,并参与到团队合作中。

Maintain good relationships with colleagues and contributes to team sprit.


2.和同事及外来的人员进行合作于协调。

Cooperate and coordinate with colleagues and outside agencies whenever necessary.


3.于其他部门一起给客人提供额外的和个性化的服务。

Interact with other department to provide additional or specialized guest services.

 

 

设备维护Care of Equipment

1.小心使用设备

Handle equipment with care.


2.及时报告故障和维护方面的问题

Ensure timely reporting of malfunction or maintenance deficiencies to appropriate area.

 

 

培训和员工活动Training And Employees Activities

1.准备每月的培训时间表。

Prepare monthly training schedule.


2.将培训记录按时间顺序归档。

Filing training records in the sequence of chronology


3.积极参与公司组织的员工活动中。

Participate actively in company initiated employee activities.

 

仪容仪表和卫生Grooming And Hygiene

遵守酒店关于卫生和员工仪容仪表的要求。

Adhere to the specified hygiene and personal appearance standards of the hotel and her area.

 

出勤Attendance

1.准备每月的排班表。

Prepare duty roster for each month.


2.遵守出勤和考勤制度。

Adhere to the set procedures for attendance and timekeeping.

 

公司政策和程序Company Policies and Procedures

遵守员工手册内的列出的规章制度。

Adhere to the provisions outlined in the Employee’s Handbook, Disciplinary Code and Rules and Regulations.

 

 

环境保护Environmental Awareness

1.循环利用或出售耗材以减少浪费。

Reduce waste to supplies and materials by reusing or selling.

2.尽可能的回收废弃物品。

Recycle, when possible.

3.根据环保节能的要求节约使用周边区域的水和能源。

Conserve water and energy by adhering to environmental / energy conservation checklist appropriate for her area.

4.保持周围环境的整洁。

Maintain clean surroundings.

5.进行环境保护。

Participate in activities concerning the protection of the environment.
