The CateringManager welcomes the client to the hotel and informs themupon arrival of the facilities and discusses the program their stay andreconfirms the arrangement made.
Handles site inspections with potential clients,and ensures all walk-in customers are treated with a sales attitude.
To make regular sales calls a week on accountsassigned to and the original clients who have held Catering before, and keep up–to-date on the clients’needs and sell the products of the hotel that will satisfy those needs.
Ensures weekly entertainment luncheons and dinnerswith respective and potential clients to improve the relationship and discoverleads for coming business.
Ensure a sales attitude prevails at all times,utilizing every opportunity within the scope of your work that will assist withthe maximization of revenue.
Represents the hotel during meetings, wedding,cocktails and dinner parties with potential clients and sells the best possibleservice and the highest revenues in the interest of the hotels as well as theclient.
Toensure the correct group status is used and all requests are answered by theteam within 24 hours.
Toprepare proposal letter based on the client requirements (menus andprices should match the required food cost percentage of the hotel).
Ensure all traces and Catering inquiries are completed and recorded andaccurate trace dates and follow up within Meeting Success Standard Procedures,ensure that input standards are correct and always meet the HMQ and Brandstandard.
Follow up on all proposal, contracts, deposit andcancellation charges to ensure the hotel policy is followed by all team members.
Toassess the physical requirements of the proposed function (number of pax, time,and type of function) and reserve an appropriate venue for the client in thebanquet reservation book.
Todiscuss with the clients further details pertaining to an event: menu,beverage, budget, miscellaneous arrangements.
Assures a good relation with the other departmentsof the hotel (mainly Banqueting Operations, Chefs, Housekeeping, Front Officeand Engineering) to ensure a proper operation of Catering .
On call to solve any problem that may occur duringthe stay of the respective group.
Afterthe function, to prepare the Thank you letter.
Tomaintain regular contacts with the banquet clients.

Toresearch new accounts and potential Catering business (by telephone, blitz call and salestrip).
Totransmit all information to Direct of Catering – Conference & Banqueting of all on-goingcorrespondence with clients, regarding possibility of a function.
Toassist Director of Catering – Conference & Banqueting in negotiatingwith prospective clients.

To make weekly and monthly plan and report, andreport to Director of Catering – Conference & Banqueting.

Tocontrol expenses relating to the function to ensure maximum net profit.
Maximizesincremental revenue attached to the banquet event/ room rental, premium drink,up-selling better menus etc.
Ensures regular competition Catering and activities checks are completed andmonitored for sales leads.
