[Position Summary]
1、Assess priorities of work and, wherever possible, assist in organizing General Manager’s priorities.
2、Ensure that any guest correspondence is replied within 48 hours of receiving to General Manager office. And monitor customer feedback, advise Direct Supervisor when necessary.
3、Being responsible for efficient Facsimile, photocopying, typewriting, translating, filing & other office duties for the General Manager office.
4、To carry out administrative projects and tasks for the General Manager.
5、To assist General Manager to monitor and check the tasks followed up by the Departmental Heads.
6、To assist General Manager and Hotel Management team to communicate with the Owner.
7、To provide assistance for the operations team on administrative work with Administration Support Center team, taking action to ensure smooth operational running if necessary.
8、To assist with translations, oral and written.
9、To support the Hotel to make good preparation for the audit, e.g. FSAA, QA, etc.
10、To be involved into the communication meetings with the team members hosted by General Manager and other Senior Managers, take meeting minutes, and follow up with the improvement plan if necessary.
11、To support and assist the other departments to organize activities for the Team Members.
12、To assist General Manager to hold ceremony for the team, including but not limited to birthday, service anniversary, program graduation celebration, etc.
13、To establish good collaboration with other departments.
14、Keeping the team up-to-date about departmental, hotel and company activities through regular communication meetings & memos. This includes special events and promotions in the restaurant.
15、To be responsible to manage and control the Departmental attendance record.
[Specific Job Knowledge, Skill and Ability]
1、Good understanding of hotel operations, practices and procedures.
2、Good computer skills in most commonly used programs, i.e. Microsoft Office, Excel, PowerPoint etc.
3、Good language skills (ie. English and Mandarin), both verbal and written.
4、Secretarial skills, i.e. typing, filing systems, office work flow etc.
5、Independent correspondence skills.
6、Strong communication and human-relation skills.
7、Strong logic analysis ability.
8、Good organizing and Time Management skills.
9、Ability to lead, to provide guidance and to develop team member.
10、Good judgement, initiative taker.
11、Team Player.
[Required Qualifications]
1、1 to 2 years of extensive operating experience as GM Secretary.
2、Confidentiality.
3、Worked with operations department management and labor related experience preferred.
4、Working experience in similar capacity with international chain hotels.
