职位描述

Facility management

  • Monitor the Office Facilities & Critical Environment
  • Report and schedule contractors for preventative maintenance to limit the downtime for all critical equipment.
  • Deal with emergency and arrange ad-hoc repair
  • To follow established escalation procedures and incident reporting procedures
  • Be responsible for the facilities management of Xi’an CBC & EGX office.
  • Be responsible for the management of the receptionists, cleaners and security guards.
  • Be responsible for providing the support on cleaning and plants management.
  • Be responsible for providing the maintenance.
  • Be responsible for collecting the order form for consumable and water each month and arranging the delivery.
  • Office equipment & environment management
  • Assist SFM to ensure all office equipment, including photocopiers, fax machines, paper shedders etc. are in good working order and consumables are replenish timely.
  • Assist SFM to ensure a good office environment, including arranging office ad-hoc repair, monitoring landscaping service and cleaning service.

Vendor management

  • To assist client/SFM to bid the contractors.
  • Meeting with client to understand clients' needs.
  • Assist to evaluate the contractors’ service performance.
  • To act the point to manage the vendors.

Financial and Budget

  • Collect and confirm the bills at the end of each month.
  • Replace PO and prepare Manual payment order for all of vendor from Ericsson REFM HQ
  • Collection rental related payment order and get the signature for all of office in China
  • Check and deliver invoice
  • Follow up all of payment, make sure pay on time
  • Monthly monitor and analyses actual cost
  • Monthly accrual unpaid cost
  • To manage the cost of Xi’an CBC & EGX office consumable.


Customer Service / Client Relationships

  • To arrange office soft service. To purchase office consumption (paper, stationery and pantry stuff etc.) and deal with printing materials. To report and submit purchase request for client approval, purchase from approved supplier and ensure they are delivery on time with accurate quantity.
  • To handle confidential document destruction and document archiving.
  • Keep good communication with ARRIS clients.
  • Coordinate and support JLL HQ SCMP team in related purchasing & services.
  • Ensured Key Operations Procedures are followed to ensure service standards are maintained.
  • Assisted SFM to seek ways to constantly reduce costs and improve operational standards
  • Keep good communication with landlord and have the monthly meeting with Landlord.
  • To assist client/SFM to do report work, including monthly report and KPI review etc.
  • Supervise the cleaner and tea lady
  • Assist client/SFM to do restacking or relocation of staff.
  • Any other duties assigned by the SFM.
  • Daily checking of the canteen(weekly), checking the monthly report(monthly), filling the quarterly KPI (quarterly)
  • Obey the temporary working arrangement from the leadership.
  • Other tasks assigned by site manager/ client.
  • Provide the facilities services to end users, including soft and hard.
  • Receptionists and cleaners management.
  • Control the cost.
  • Ability to manage teams and vendors.
  • Able to work in a fast-paced, results-oriented, collaborative environment
  • Good communications and coordination skills
  • Good Computer Skills & knowledge
  • Good skills to solve kinds of problems
  • Competency in the use of Microsoft Office applications
  • Fast learner and willing to grow with the organization
  • Can perform multiple jobs at the same time.
