职位描述

Duties 工作任务:

1.To assess the physical requirements of the proposed function (number of pax, time, and type of function) and reserve an appropriate venue for the client in the banquet reservation book.

2.To discuss with the clients further details pertaining to an event: menu, beverage, budget, miscellaneous arrangements.

3.Assures a good relation with the other departments of the hotel (mainly Banqueting Operations, Chefs, Housekeeping, Front Office and Engineering) to ensure a proper operation of events.

4.On call to solve any problem that may occur during the stay of the respective group.

After the function, to prepare the Thank you letter.

5.To maintain regular contacts with the banquet clients.

6.To research new accounts and potential events business (by telephone, blitz call and sales trip).

7.To transmit all information to ADOE/DOE – Conference & Banqueting of all on-going correspondence with clients, regarding possibility of a function.

8.To assist ADOE/DOE – Conference & Banqueting in negotiating with prospective clients.

9.To make weekly and monthly plan and report, and report to ADOE/DOE – Conference & Banqueting.

10.To control expenses relating to the function to ensure maximum net profit.

11.Maximizes incremental revenue attached to the banquet event/ room rental, premium drink, up-selling better menus etc.

12.Ensures regular competition events and activities checks are completed and monitored for sales leads.

 

 

Responsibility   主要职责: 

 

1.To receive inquires for functions (by telephone, walk-in guest, result of a sales call).

2.To transmit all information to each concerned Dept. and ADOE/DOE – Conference & Banqueting of all on-going correspondence with clients, regarding possibility of a function.

3.To discuss with the clients further details pertaining to an event: menu, beverage, budget, and miscellaneous arrangements.

4.To assist Conference & Banqueting Sales Manager and Executive to follow up with clients on proposals and finalize all the arrangements.

5.To issue instructions for functions to all departments via the event order in advance.  The event orders should be proof read and signed by ADOE/DOE – Conference & Banqueting.

6.To supervise the preparation of arrangements of the concerned function to ensure everything is in order.

7.To coordinate with front office, banquet service, bar manager, kitchen, stewarding, engineering, art department and musicians (or other) prior to the function to ensure instructions are understood and everything is in order.

8.After the function, to prepare the Thank you letter.

9.To maintain regular contacts with the banquet clients.

10.To control expenses relating to the function to ensure maximum net profit.

11.Follows up on all deposit, contracts and cancellation charges to ensure the hotel policy is followed by all team members.

12.To ensure the correct group status is used and all requests are answered by the team within 24 hours.

13.To check and control all banquet signboards present the right information ( lobby and all the function room)

14.Be responsible for the training of the Event Coordinator.
