KEY ACCOUNTABILITIES
A. Administration
Assisting to prepare a 10-day forecast on Banquet events.
Assisting Catering Sales in liaising with the hotel’s contractor (musicians, florists, graphic designer, photographers, print house) to meet with guests’ expectation and hotel’s interests
Copying and distributing, event orders, group resume and amendments issued by Catering sales
Creating and maintaining company profiles, event management and trace booking activities for Catering events.
Filing the correspondences and event orders properly
Issuing simple event orders to all respective sections.
Inputting data for monthly sales statistics
Input non-catering but important food & beverage events into Opera System for internal circulation
Issuing thank you letter / event questionnaire and gift voucher for all functions
Maintaining sufficient stationary and sales kits in the stock
Maintains good communication with the banquet operation, F&B section heads and other Departments.
Prepare the daily comparison of forecasts and reports.
Prepares local (group) lost / cancellation report on a weekly basis.
Preparing menu, place cards, signage, seating plan, tent card, table sign for all functions
Preparing for schedule site inspection (including function rooms, guest room, restaurants and other hotel facilities) and entertaining unscheduled site visit such as walk in guests together with Catering Sales.
Preparing basic information for general enquiry and tentative bookings
Replying initial telephone, fax, letter and internet enquiries for Catering events and other telephone enquiry for Food & Beverage Department which are not intercepted by secretaries
Updating banquet duty roster with F & B duty roster
B. Cost Management
Carries out other duties as and when requested by management.
Conducts market surveys.
Takes every possibility to up-selling.
C. Hygiene and Cleanliness
Ensures Catering Sales Office are always clean and presentable
D. Guest Service
Attends to guest requests and complaints, efficiently
Attends to VIP requests & coordination meetings.
Being familiar with hotel facilities and any special events relating to the Hotel or other departments.
Creating personal contact with guests.
Co-ordinating with Banquet in charge to check function venues and to ensure all set up are completed according to the event orders issued by Catering Sales prior to each event
Developing good client relationship
Ensures that hosts/organizers are greeted personally.
Maintaining good business relationship with regular and potential clients in order to promote banquet facilities and develop other business opportunities by entertainment or courtesy calls
E. Maintaining Standards
Attends all training sessions and courses, briefings and meetings as required.
Actively supporting the hotel’s team culture, and to help achieve the hotel’s vision and values.
Conducts sales calls/blitz as required.
Helps to ensure the hotel’s high standards.
Looking continuously for ways to improve clients’ services.
Making a significant and continuous effort to increase his / her professional knowledge, in order to achieve goals and objectives.
