PRINCIPAL RESPONSIBILITIES 主要职责

1.      Business Plan & Event Management商务计划&活动管理

  • To work      closely with Director of Catering to explore new markets and packages

与宴会及会议销售总监紧密工作,开拓新的市场和提供更多宴会及会议套餐.

  • To      develop market and business plan and strategies with Director of Catering      according to market trend

开拓发展销售市场和商业计划,配合宴会及会议销售总监根据市场发展趋势制定销售策略

  • To seek      for new business opportunities

寻找新的商机

  • To create      sales leads

创建销售线索

 

2.      Sales Related Activities 销售相关的活动

§  Liaises closely with Sales Team in proposing the best deal when handling leads /inquiries (pricing strategy, special requirements) passed over, in order to convert the leads / inquiries to confirmed event.

与销售团队紧密合作,在处理生意信息/ 询价(价格策略、特殊需求)时给予建议和支持,使生意信息/询价转变为确定的宴会及会议活动。

§  Prepares proposals / contracts for leads / inquiries received from Sales Managers.

当从销售经理处拿到生意需求时,及时为客户准备报价书/合同等。

§  Follows through from negotiation until departure for events assigned.

对于分派的宴会及会议活动负责跟进从洽谈到会议活动结束离店。

§  Liaises with clients on finalising details and gives professional advice on set-ups and planning of events.

和客户一起商谈最终细节并在活动计划和布置上给予专业的忠告和建议。

§  Practices up-selling at all opportunities to maximise revenue.

尽最大可能去提升销售额。

§  Ensures effective communication with clients and internal departments.

保证与客户和酒店各部门有效的沟通。

§  Responsible for the dissemination of groups related information to other departments e.g. issues Banquet Event Orders, Group Resumes and chairs pre-event meeting.

将团队涉及信息分发至酒店各部门。例如:发宴会通知单,团队摘要和活动前准备会议。

§  Maintains close co-ordination with respective departments on organisers’ requirements and last minute event requirements.

§  Be visible to organisers and clients during their event/group dates and monitors guest satisfaction.

让活动组织者和客户在活动/团队停留期间让其客人满意。

§  Oversees the operation of banquet functions and works closely with various departments to ensure quality service is delivered to our clients at all times.

检查宴会运行和与其一起工作的各部门工作,在所有的时间内确保有质量的服务给客人。

§  Regularly reviews Master A/C postings to ensure postings are correctly done. Reviews bills with organizers regularly so as to eliminate adjustments needed on final invoice.

§  Maintains close communication with concerned Sales Manager during the process.

§  Involves concerned Sales Manager during post-event meeting and post-event follow up such as sending Thank you letter & Post-Event Critique forms together.

§  Verifies total charges and layout of invoices prepared by Accounts Receivable and sends out to organisers.

§  Obtains feedback from clients and follows through with the necessary actions.

§  Refers leads and sends Event Profile information to relevant sister hotels or GSO (if any).

§  Maintains the active Event Profile Database.

§  Establishes and maintains files of major accounts and assists the Director of Banquet Sales in maintaining the Accounts Management System.

建立和维持主要的客户档案并协助宴会及会议销售总监维护管理客户档案管理体系。

§  Establishes good working relationship with internal customers (other departments of the hotel) and external customers (clients, event contractors, suppliers).

与内部客户(酒店其它部门)和外部客人(客户,会议承办人,供应商)等建立良好的工作关系。

§  Actively participates in achieving the departmental goals which contribute to Marketing budget.

积极参与完成部门目标和达到市场预算。

§  Closely monitors accounts revenue and business production.

紧密关注客户在酒店的生意产量。

§  Provides feed-back on market trends and keep updated with client relationships and overall business goals through close communication with Director of Banquet Sales.

提供反馈市场趋势,与宴会及会议销售总监保持沟通,并与客户保持良好关系,不断更新整体经营目标。

§  Maximises up-selling opportunities whenever possible.

抓住任何有可能的销售机会。

§  Assists the Director of Events in the forecasting of group room nights and banquet revenue.

协助宴会及会议销售总监预测团队间夜和宴会收入。

§  Arranges relationship building visitations when necessary.

视需要安排商务拜访。

§  Cross-sells other sister Hotels where appropriate.

与其它酒店交叉销售。

§  Closely communicates with concerned Sales Managers regarding the progress of the negotiation process.

就有关谈判进程的进展状况与销售经理紧密联系。

§  Conducts site inspections for potential clients.

带领潜力客户做酒店视察。

§  Attends regular communication meetings with operations staff to update on event details.

参加沟通会议,与运作部门沟通和更新会议的细节。

§  Ensures effective and close communication within the department and other departments.

确保和其它部门有效而密切的沟通。

§  Maintains timely and responsive communication with clients.

及时满足客户需求并保持有效沟通。

§  To liaise with Food & Beverage Department in ensuring that the hotel hygiene and food safety control standards are maintained.

与餐饮部沟通一起保证酒店食品卫生管理体系的实施。

§  To explore new market product

开拓新市场和新产品

§  To build up data base for catering department

为宴会销售部门建立数据库

§  Perform any duties assigned by the Management deemed necessary.

执行任何管理层指派的工作。

 

3.      Communications 沟通

§  To attend daily briefing and catering meeting

出席每日例会和宴会销售部门的会议

§  To arouse management’s awareness of market needs, competitors strategies and business opportunities

激发管理层对于市场需求,竞争对手战略和商机的及时了解

 

4.      Administration and Others 行政和其他

§  Carry out any other duties as and when required by the Director of Events

根据宴会及会议销售总监的要求实施其他职责

§  To revert complaint and comments from guests to management

将来自客户的投诉和评价提交给管理层

§  To maximize space utilization of all function space for profit

将酒店所有宴会空间充分利用以最大限度的提高空间利润

§  To log all activities in Delphi system

将所有宴会活动每日录入在Delphi系统中

 

5.      Personal Training and Development 个人培训与发展

§  To conduct training sessions to new catering associates on product knowledge and general policy and procedures

对于新的宴会销售人员进行产品知识,一般条例及程序的培训

§  To support departmental trainer for new colleagues

协助部门的培训员对新员工进行培训

§  To set up individual development goals

建立个人的发展目标

 

REQUIREMENTS 职位要求

1.        Education 教育学历

§    University degree or diploma is required.

大学或相关的专业毕业

 

2.        Experience 经验

§  Minimum 2 years experience in similar capacity with international chain hotels

具有至少2年在国际连锁酒店的相关工作经验

 

3.        Job Skill / Ability 工作技能要求

§  Sound communication skills and good interpersonal skills

具有良好的沟通技巧和人际交往能力。

§  Good team player & able to develop sound working relationships with colleagues

良好的团队合作精神,能够与同事发展良好的工作关系

§  Ability to work under pressure and deal with stressful situations during busy periods.

能在强压下胜任工作。

§  Good skills of organization and presentation.

良好组织及展示技巧

§  Ability to manage by example.

§   Pleasant and out spoken

4.        Computer Knowledge 电脑知识

§  Microsoft word, excel and PowerPoint is a must

必须熟练使用微软wordexcel PowerPoint 软件

§  Familiar with Delphi Sales & Catering and Opera PMS is preferred

熟悉Delphi Sales & Catering Opera PMS系统为佳

 

5.        Language Proficiency 言能力

§  Excellent English and Mandarin communication skills in both written & spoken
