职位描述

·          To receive enquires for pop up functions by telephone and walk-in guest. 接受客人关于宴会信息的询问和接待来店客人。

·          To transmit all information to Assistant Event Manager of all on-going correspondence with clients, regarding possibility of a function. 将关于会议的所有相关信息传送给宴会统筹副经理,做好和客人的协调,注意宴会当中的可能的突发情况。

·          To assess the physical requirements of the proposed function and/or groups (number of pax, time, and type of function) and reserve an appropriate venue for the client in the banquet reservation book and appropriate sleeping rooms in the hotel. 确认宴会或团队有形的需求,如人数,时间和宴会形式。同时为客人在宴会厅预留一个适当的场地,在酒店里预留相应的客房。

·          To discuss with the clients further details pertaining to an event and/or group stay, menu, beverage, budget, miscellaneous arrangements, room types, benefits, etc. 与客人讨论会议或团队的附属的相应细节,如菜单,饮料,预算,杂项的安排,房型等。

·          To follow up with clients based on the signed contract and finalize all the arrangements. 在合同签订的条件下,跟进会议的进行以及做好会议前的最后确认。

·          To take the leads in the daily briefings, 15 min training, F&B meetings when the Event Manager and/or Asst. Event Manager are not available to do so.在宴会统筹经理或副经理不在的情况下,召开每日的短会,15分钟培训和餐饮部门会议。

 

SPECIFIC DUTIES 工作任务:

·          To issue instructions for functions to all department via the event order, this well in advance. The event orders should be proof read and signed by Sr. Event Manager. 将宴会单给宴会统筹经理审核并签字后发到各个部门。

·           

·          To issue instruction for sleeping rooms requirements to all department related via the cover sheet and rooming list. 将房间预订单和房间名单发到各个部门

·          To assist in the work of Event Executive and train the Event Coordinator who prepares and distributes instructions and other correspondence. 帮助和训练宴会统筹专员和协调员去准备和分发宴会预订单和其他的文件。

·          To supervise the preparation of arrangements of the concerned function to ensure everything is in order. 指导和监督会议准备,安排及将所有的信息写在宴会预订单上。

·          To liaise with Front Office, Banquet Service, Beverage Manager, Kitchen, Stewarding, Engineering, Communications and Musicians (or other) prior to the function via Group and/or Catering Resumes to ensure instructions are understood and everything is in order. 和前台,宴会服务部,酒吧经理,厨房,管事部,工程部,公关部及其他相关部门保持良好的沟通和联系以确保他们能收到和明白宴会单上的事项。

·          After the function, to prepare the Thank You letter and The ESS. 在宴会结束之后,将感谢信和客户意见条查表发给客人。

·          After the group stay, prepare the Group Weekly Critique and file it accordingly. 在团队结束后,准备团队周评价表并做相应的保存。

·          To maintain regular contacts with the Banquet clients. 维护客人在正式合同中的权利和义务。

·          To control expenses relating to the function to ensure maximum net profit. 审核和控制宴会在最大人数下能达到的最高利润。

·          Follow up on all deposit, contracts and cancellation charges to ensure the hotel policy is followed by all team members. .跟进定金,合同和会议取消产生的费用,并要求整个团队有力维护酒店的方针和规定。

·          To ensure the correct group status is used and all requests are answered by the team within 24 hours. 修改团队的状态,保证所有的要求在24小时内回复。

·          To check and control all Banquet signboards present the right information. 检查和审核宴会厅负责人员是否受到最正确的信息。

·          To supervise the Event Executive and Event Coordinator. 监督和指导宴会统筹专员和协调员的工作。

To ensure the Event Office administration is properly adhere to. 确保宴会统筹部的工作顺利进行。
