Administration行政管理

  • To assist in the implementation of the hotel’s Sales Strategy (goals, tactics and actions) to achieve and exceed forecasted revenue figures in Rooms, Food and Beverage, and all other revenue departments.

协助酒店销售策略 (目标,战术和行动) 的落实达成而且超越客房,餐饮和所有的其他部门的预测收入。

  • To ensure that the Sales activities are aligned with the Corporate Marketing Strategy, and that the Hotel Actions have been implemented where appropriate.

确定酒店进行的销售活动与企业行销策略一致, 在适宜的地方开展酒店行销活动。

  • To represent the Sales function on the hotel's Executive Committee in the absence of the Director of Sales.

代表酒店执行委员会在销售总监缺席期间担负销售的职责。

  • To assist in the preparation and update of the Departmental Operations Manuals.

协助准备和更新部门的操作手册和指南等

  • To attend regular departmental communications meetings and ensure that departmental briefings and meetings are effective and conducted as necessary.

  • To ensure sales files and systems to have correct booking procedures, including group room and meeting programme history, contractual agreements, room block analysis, credit and payment documents, etc.

  • To monitor that all hotel employees deliver the brand promise and provide exceptional guest service at all times, providing positive and constructive feedback as necessary to the respective Head of Department

  • To ensure that Sales employees also provide excellent service to internal customers in other departments as appropriate.

  • To handle all guest and internal customer complaints and inquiries in a courteous and efficient manner, following through to make sure problems are resolved satisfactorily.

Financial

  • To maximise employee productivity through the use of multi-skilling, multi-tasking and flexible scheduling to meet the financial goals of the business as well as the expectations of the guests.

  • To assist with the preparation of the annual sales plan.

  • To ensure that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information

Marketing

·         To assist all the sales strategy, tactics, and action implementations, complying with the Smart Selling approaches, in order to create a strong and disciplined sales team, and to achieve the sales goal.

·         To monitor and evaluate local, national and international market trends, and the competitor hotels’ sales initiatives, in order to make sure that the hotel’s marketing and sales remain competitive and cutting edge.

·         To assist to manage all the key sales accounts and groups, to evaluate them based sales account analysis prepared by Marketing Manager – Strategy / Marketing Analyst, and to make strategy for pricing, inventory, and sales resource allocation.

·         To actively participate in sales meetings, developing and adjusting sales account and pricing strategy.

·         To ensure that the best use is made of technology including Delphi or other sales and catering systems, and that data is clean.

·         To coordinate and execute acquisition, developments, and retention sales.

Operational

·         To assist with and coordinate all selling activities and to communicate these activities throughout the hotel.

·         To maintain a database of local, national and international group, catering and conference leads and ensure implementation of appropriate sales development and acquisition activities.

·         To make sure that all the sales proposals, collateral, digital tools, and other sales communications are in line with the hotel’s and HI’s brand standards, and up to date in terms of information.

·         To be aware of community, business, political and social factors that may affect the hotel’s financial performance.

·         To ensure that the room and banquet space inventories are reviewed weekly and that strategies are formulated to fill low occupancy periods.

·         To follow the established hotel policies and procedures when signing contracts on behalf of the Marketing and Sales Department.

·         To attend major travel, trade and corporate functions to network and promote the hotel.

·         To plan and execute sales trips based on business priorities.

·         To entertain existing and potential customers and ensure that other Sales personnel entertain customers based on business priorities.

·         To assist in creating a high level of exposure for the hotel through direct sales solicitation, telephone contact and written communication.

·         To work closely with other management personnel in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.

·         To make sure that other Sales employees work in a supportive and flexible manner with other departments, in a spirit of “We work through Teams”.

Personnel

·         To assist in the recruitment and selection of all Sales employees. To follow hotel guidelines when recruiting and use a competency-based approach to selecting employees.

协助招募和筛选应聘的销售人员。当招募和在使用以资格基础方式选择职员时应以酒店指导方针为向导。

·         To ensure the punctuality and appearance of all Sales employees, making sure that they wear the correct uniform and maintain a high standard of personal appearance and hygiene, according to the hotel and department’s grooming standards.

保证销售职员严守时间和高质量外表的观念, 依照酒店和部门仪容仪表的标准确保职员穿着正确的制服和保持高标准的个人外表和卫生

·         To conduct annual Performance Development Discussions and to support employees in their professional development goals.

组织年度业绩发展的讨论和对于员工的专业发展目标给以帮助

·         To plan and implement effective training programmes, including all the required Smart Selling Courses, for employees in coordination with the Training Manager and Departmental Trainers.

·         To maximise the effectiveness of every Sales employee by developing each of their skills and abilities through the appropriate training, coaching, and/or mentoring.

·         To assist in the implementation and ongoing monitoring of Personal Business Plans for all Sales employees.

Other Duties

·         To maintain strong, professional relationship with the relevant representatives from competitor hotels, business partners and other organisations.

努力和竞争酒店,商业伙伴以及其它组织的保持专业的合作关系。

·         To respond to changes in the Sales function as dictated by the industry, company and hotel.

要严格按照行业,公司,酒店的规定对市场变化做出反应

·         To read the hotel's Employee Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.
