Duties & Responsibilities：

职责义务：

Maintain a proper filing system, handle correspondence on a day-to-day basis and assist Executive Chef and Executive Sous Chef on their administrative work.

厨房档案和文件的建立及维护。支持并处理厨房的日常沟通与协调。帮助行政总厨和行政副总厨完成行政工作。

Type reports, letters, and memorandum, circularize event order, forms and other communications and maintain files of it.

报告、信件、备忘录的编写，传递宴会预定信息及其他部门相关信息，文件的存档。

Take down and transcribe minutes of meetings and dictations. Draft routine or simple correspondence and memorandum for approval of superior. Translate documents as necessary and keep files up to date.

详细做好会议记录，与上级保持日常基本的沟通及替其作好备忘工作。翻译所需文件，

保持部门文档更新。

Answer and place telephone calls, handle inquiries, take messages and endorse to concern.

接听电话，处理相关查询问题及记录留言。

Receive, screen and refer office callers and visitors coming to appropriate personnel.

招待电话访客，接待到访客人，对其进行适当的安排。

Arrange appointments for Executive Chef and remind on schedules and meetings.

替行政总厨安排预约行程并提醒其时间表及会议时间。

Open, read, sort and record incoming mail, forward to concerned persons. Inform them which need their immediate attention. Dispatch and record outgoing mail.

对收到的信进行拆封，阅读，分类及记录，转交给相关收件人。提醒他们需要立即关注的信件。发出并记录外埠邮件。

Maintain adequate stock of necessary office supplies, initiate requisitions for approval.

保持充足的办公室物资的存货，进行适当的采购。

Prepare Purchase Request and follow up status.

准备采购单并跟进相关程序。

Maintain adequate filing system for administrative files.

确保适当的行政文件管理归档。

Monthly apply for staffs’ stocks and guardians nominations and do evaluation form for probation.

Prepare attendance sheets of Culinary Division colleague and submit them to Accounting (payroll).

完成厨房部员工的考勤表并递交给统计部门统计。

Perform other duties as may be assigned.

Control office related costs and recommend changes.

Minimum 3 years’ college education, good at English both speaking and writing.

Good knowledge of computer programs such as word, excel, PowerPoint and programs used within the hotel. Can speak, read and write English and Chinese.
