Job Responsibilities:
-Provides administrative support to Director of F&B and F&B department. Ensures the implementation of hotel policies, standards, and procedures as they apply to the administrative functions.
-Reads and routes incoming mail.
-Locates and attaches appropriate file correspondence to be answered by Division Head.
-Types, files, and upkeeps of all private and confidential matters related to the department.
-Sets up a systematic and efficient filing system, both for hard files as well as all electronic data, that enables quick retrieval. Ensures all files are kept up-to-date at all times.
-Greets visitors, ascertains nature of business, and conducts visitors to appropriate employee.
-Types, takes dictation and minutes, drafts letters, files and trace correspondences.
-Attends and prepares minutes for Division's employee meetings.
-Monitors and maintains the proper cleanliness and appearance of the Division's office area.
-Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.
-Maintains positive guest and colleague interactions with good working relationships.
-Carries out any other reasonable duties and responsibilities as assigned.
Job Requirements:
-Possess a Diploma in Secretarial Study or equivalent in work-related training and experience.
-Have work experience as a Secretary/ Senior Clerk in a hotel is preferred.
-Preferable knowledge of Food and Beverage.
-Well developed computer knowledge, particularly in the use of MS Office & Lotus Notes.
-Fluent English and Mandarin– written and spoken, multi-lingual desirable.
-Responsible self-starter, capable of handling multi-faceted tasks and of working under pressure.
-Team player, who values teamwork, has good team building skills and is able to communicate effectively with all levels of employees.
-Personable and pleasant to deal with.
-Good health, physically fit. Good personal grooming & personal presentation.
-Understands and respects local culture, able to adapt to changing environment.
