Job Summary – (Role Summary)

Oversees and directs all aspects of Telecommunication services to achieve the highest possible guest satisfaction.

对电信服务进行监督和指导,以取得最大的客户满意度。

Scope and General Purpose of Job / 工作范围及目的

Responsible for transmitting, relaying all outgoing and incoming calls which include those of house guests and official ones.

负责转接所有打出打进酒店的电话,包括客人房间的和商务电话。

Responsible for giving out information, guest mail and messages, fax, accomplishing and maintaining required reports and records.

负责为客人提供有关客人信件、信息、电话、传真、制作和保留有关报告和记录。

Offers assistance and in response to guest queries gives out factual information regarding hotel services and facilities, important events and other common points of interest.

为客人提供协助,并回答客人提出的有关酒店服务和设施,重要事件和其他事情的询问。

Ensure that all the room service orders are delivered to the guest room in time.

确保将客人的送餐服务的要求及时地送到宾客房间。 

Main Duties /主要职责

1. Operates the hotel switchboard according to the operating techniques required by the type of equipment.

根据操作所需设备的技巧操作酒店程控机。

2. Answers incoming calls, connects them to the appropriate extensions and takes down messages when necessary.

回答打进酒店的电话,将他们接到适当的分机上并在必要时记下信息。

3. Assists guests with outgoing calls and connects internal calls.

协助客人拨打外线电话,转接内部电话。

4. Takes charge of transmitting all outgoing telexes/cables for registered guests and executive offices/departments.

负责未登记过的客人和行政部门转接电话。

5. Offers assistance and in response to guest queries gives out factual information regarding hotel services and facilities, important events and other common points of interest.

为客人提供协助,并回答客人提出的有关酒店服务和设施,重要事件和其他事情的询问。

6. Handles guests messages and telexes with great care and attention. Keeps file and record of same.

十分仔细认真的处理客人的信息、电话、档案和记录。

7. Computers the charges and prepares vouchers for all outgoing telexes/cables; prepares summary of telex/cable charges to be submitted to Night Auditor daily.

计算费用并准备所有打出电话的发票,准备电话费汇总以备每日夜审。

8. Maintains a complete and accurate record of telex/cable vouchers for all outgoing telexes/cable charges.

保存一份完整确切的打出酒店的电话记录。

9. Reconciles/double checks the record of outgoing telexes/cables with the Statement of Account received from the carrier every month for final approval of Front Office Manager or his assistant.

根据每月收到的电话账单认真与打出酒店电话记录核对并交由前厅部经理批准或协助。

10. Takes charge and ensures that all incoming messages are immediately delivered to the address.

记录并确保所有记录下的信息及时传递到指定地点。

11. Co-ordinates with the concierge and reception regarding incoming messages of guests.

与礼宾部和前台进行至酒店客人信息的合作。

12. Ensures that the supply of telex paper and tape is adequate and that the ribbon is always clear.确保足够的电话记录纸和便条纸并保持打印纸带清洁。

13. Keeps working area neat and clean. Reports any breakdown of telex machine.

回答打进酒店的电话,将他们接到适当的分机上并在必要时记下信息。

14. Pages called party through paging system.

通过呼叫系统呼叫对方。

15. Handles emergency communication for the Hotel.

16. 处理酒店紧急通话。

17. Handles wake-up calls and requests for direct assistance from guests; gives general information to guests.

处理叫醒电话和有关直接为客人服务及提供客人相关信息的事件。

18. Maintains order in Telephone Exchange area and provides communication facilities in case of emergencies, during emergencies also handles all communication until instructed otherwise by superior except in cases of imminent personal danger.

维持接线房秩序并提供通讯设施以备紧急事件,除非涉及个人危险经上级领导批准,否则在紧急时刻仍要坚守岗位。

19. Initiates requests for repair and maintenance of switchboard equipment.

如有必要则要求对程控机的维修和维护。

20. To deal with all telephone, written, verbal, fax, telex and e-mail reservations and inquiries in accordance with the hotel policies and Howard Johnson Plaza Operation procedures.

根据酒店的政策和豪生操作程序处理各种形式的预订如:书面,口头,传真,邮件等。

21. To make a reservation for each booking and accurately input details into the OPERA system.

讲每个预订准确地输入酒店地电脑系统。

22. To deal with all cancellations/amendments to bookings and make the necessary alteration within the Fidelio system

对于预订的更改,取消及时在电脑中进行更新。

23. To develop and operate on effective Chase System for provisional bookings to ensure maximum occupancy.

发展并运行有效的跟踪系统确保最大化的住房率。   

24. To maintain an efficient and accurate filling system.

保持有效的存档系统。   

25. To liaise with all other departments to keep them informed of any relevant information.

与各部门保持联系,确保相关信息的及时传达。

26. To be familiar with all room types, be able to convincingly explain difference in room     types and rates.

熟知酒店的各种房型,确保能向客人清楚地解释房间的区别。

27. To be aware of the cancellation, no show and deposit procedures of the hotel.ts/instructions for proper implementation (e .g .wake-up call requests).

了解所有团队分房表单 / 指示以便适当操作(例如:起床闹铃)。

28. Ensures that overseas calls of Cash Basis Guests are handled properly.

确保所有现金支付国际长途客人的电话妥善处理。
