ESSENTIAL FUNCTIONS核心职责


Administration 行政

· Provides administrative support to General Manager and ensures the implementation of hotel policies, standards, and procedures as they apply to the administrative functions.

为总经理提供行政支持,确保酒店应用于行政职能的政策、标准及程序的实施。

· Locates and attaches appropriate file correspondence to be answered by General Manager.

为总经理的回函找到并附上有关文件。

· Types, files, and upkeeps all private and confidential matters related to the department.

打出、存档并更新所有与部门相关的私人及机密文件。

· Sets up a systematic and efficient filing system, both for hardcopies as well as all electronic data, that enables quick retrieval.

建立系统且高效的电子档案和纸张档案存档系统,以利快速查找。

· Ensures all files are kept up-to-date at all times.

确保所有文件都是及时更新的。


Operational 营运

· Prepares the relevant materials for all meetings attended by the General Manager: Daily Operations Meeting, Planning Committee Meetings, Departmental Meetings and ad Direct Line Meetings.

为总经理参加的所有会议准备相关材料:每日运营会议、策划委员会会议、部门会议及临时召开的会议。

· Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls.

应答电话并给予致电者相关信息或将电话转给适当的人并拨打外线电话。

· Makes copies of correspondence or other printed matters.

复印信件或其他打印品。

· Prepares outgoing mail.

准备发出的邮件。

· Types, takes dictation and minutes, draft letters, files and traces and composes correspondence.

打字、记录口述及会议纪录,草拟信件、存单及追踪,撰写回函。

· Monitors and maintains the proper appearance of the Division’s office area.

监控并保持部门办公室区域的美观。

· Maintains organised files.

文件保持有序。

· Reads and routes incoming mail and outgoing correspondences.

阅读及发送来函和去函。

· Handles outgoing mails by courier.

吩咐快递处理去函。

· Ensures travel authorization forms are fully completed and signed by the respective executive before handing over to the Director of Finance for signature.

在送交财务总监签字前确保旅游审批表已经由各个相关负责人填写完成并签字。

· Handles monthly requisition of stationeries/general and dry goods stores.

处理月度文具仓/总仓和干货仓的领货申请单。

· Checks and updates employees’ attendance records for General Manager’s approval and obtain individual employee’s signature before forwarding it to Paymaster.

检查并更新员工出勤记录,以提交总经理批准,并在转交工资应付员前获得员工个人签名。

· Handles franking of mails for the Executive Office.

处理部门邮件印标。

· Assists in the preparation of the Annual Business Plan.

协助进行年度经营计划的准备工作。

· Ensures that minimum brand standards have been implemented.

确保酒店最基本的品牌标准都要被贯彻执行。

· Responds to the results of the Consumer Audit and ensures that the relevant changes are implemented.

对于客户调查结果做出回应并落实相应的改善措施。

· Works closely with other employees in a supportive and flexible manner, focusing on the overall success of the hotel and the satisfaction of hotel guests.

· Works in a supportive and flexible manner with other departments, in a spirit of “We work through Teams”.

· Ensures new technology and equipment are embraced, improving productivity whilst taking work out of the system.

Customer Service 宾客服务

· Ensures that all employees deliver the brand promise and provide exceptional guest services at all times.

确保所有员工遵循品牌承诺并始终提供优异的对客服务。

· Handles all guest and internal guest complaints and inquiries in a courteous and efficient manner, following through to make sure problems are resolved satisfactorily.

礼貌而高效地处理所有客人和内部客人的投诉和询问,确保问题得到圆满解决。

· Handles guest and employee enquiries in a courteous and efficient manner, reporting complaints or problems if no immediate solution can be found, whilst feeding back a prompt follow up.

· Maintains positive guest and colleague interactions with good working relationships.

· Greets visitors, ascertains nature of business, and directs visitors to appropriate employee.

欢迎来访者,确定业务性质并将来访者引荐给上级或适当的人。


Financial 财务

· Ensures that all hotel, company and local rules, policies and regulations relating to financial record keeping, money handling and licensing are adhered to, including the timely and accurate reporting of financial information.

确保遵循与财务记账,资金处理及营业执照相关的酒店、公司及当地的政策与法规等,及时准确的汇报财务信息。


NON-ESSENTIAL FUNCTIONS 非核心职责

· Ensures high standards of personal presentation and grooming.

确保保持高标准的个人形象和仪容仪表。

· Maintains strong, professional relationships with relevant representatives from competitor hotels, business partners and other organization.

与竞争对手的酒店代表、生意伙伴和其他公司组织。

· Reads the hotel's Employee Handbook and has an understanding of and adheres to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.

熟知酒店的员工手册并且理解酒店的规章制度,尤其是有关火灾,卫生,健康,与安全的政策和程序。

· Exercises responsible management and behaviour at all times, positively representing the hotel management team and Four Seasons.

终对管理和个人行为负责, 并且积极展现酒店管理层和四季集团的形象。

· Attends training sessions and meetings as and when required.

参加必要的培训和例会。

· To perform other tasks or responsibilities assigned by managers.
