Position Summary 职责概况

Responsible for administrative services for banquet handles reservations and arrangement of functions.
负责宴会服务,处理预订,安排等工作。
Administrative Responsibilities 行政职责
Attend weekly Sales and Marketing Meeting and Banqueting meeting.
参加每周的餐饮会议。
Maximum use of banquet facilities and outside catering by selling Menus, Theme Parties, Weddings. Cocktail Parties, Conferences, Meetings and other events.
最大限度的利用宴会设施和外卖服务,可通过推销、菜单、专题晚会、婚宴、酒会、会谈等来实现。
Conduct weekly sales calls with a minimum of twelve accounts per week. In additional to that, three phone calls per day to regular customers, corporate clients and travel agencies.
每周最少有12次促销、每天有3次电话促销。
Complete all assignments quickly and accurately according to banquet standards and procedures.
按照宴会标准和程序,迅速并准确的完成指派任务。
Attend customer inquires (telephone, face to face and written) in relation to banqueting  
services within 8 working hours.
在24小时内回复客人有关宴会服务的询问(电话、面对面或书信等)
Handle all customer correspondence and internal correspondence within 24 hours.

Maintain food communication with other outlets and departments, in particular with the Kitchen and Banquet Department. Fosters teamwork between related departments.

Liaise with Banquet Sales Manager for the resolution of major incidents or unusual requests.

Make arrangement for sales calls. Ensure that Banquet event orders are issued within fourteen (14) days before the function date.

Ensure that all sales activities are input into Activity Report Daily.

Maintain complete familiarity with fir, safety and emergency procedures
Responsible for guest satisfaction as measured by Questionnaire and customer feedback. Devises action plan based on customer feedback to enhance our service and guest satisfaction.
负责根据客人调查表及反馈表来衡量顾客的满意度,根据顾客反馈表来设计行动计划,以此提高我们的服务和客人满意度。
Maintain all function files and guest history.
保留所有宴会记录和客人档案。
Be fully knowledgeable of market trends and competitors strategies.

Be well informed of all general activities in the hotel.
通知他人关于酒店内所有活动。
Constantly review banqueting sales standards and procedures in line with operational and guest needs and recommends improvements to the Banquet Sales Manger.
经常回顾在经营与客人满意方面,宴会销售的标准和程序, 并建议宴会销售经理作些改进。
Ensure that all functions are run with the highest standard possible.
确保每一次的宴会都尽可能地以最高标准完成。
Check final billings to ensure billing charges are accurate
检查所有的帐单以保证所有的收费准确。
Follow up with after sales service to ensure that the customer’s needs were satisfied or exceeded. Maintain rapport to ensure the opportunity of repeat business is maximized.

Maintain high presence and profile at the commencement to the banqueting function and introduces the Banquet Manager to the client as the major point of contact during the function.

Commercial Responsibilities 商业职责

Keeps himself/herself well informed about the operations especially in essential departments (Front Office, Housekeeping, F&B, Banqueting etc.).
注意饭店尤其是主要部门的运作。(前厅部、客房部、餐饮部、宴会厅等)
Closely observes matters pertaining to competition (sites, prices, services offered on a regular basis - quarterly or more often if need be).
密切关注涉及竞争的事宜。(位置、常规价格、服务-偶然或经常需要的)
Promotes the hotel as often as possible through entertaining, conducting, site inspections, presentations etc. of the hotel.
通过经常宴请、参观、展示等活动,推销饭店。

Sales Responsibilities 销售职责

Pays visits to former, existing and potential clients in view of entering contracts with them, especially commercial accounts.
拜访以前的、现有的和有潜力的客户尤其是商业客户,与其保持联系。
Determine and recommend prospecting customers by analyzing historical and other statistical information, participation in conducting customer interview and preparing customer call analysis reports.

Defines precisely guest requirements and ensures that the guest services offered corresponds effectively to their requests.
明确客户需求,确保客户需要得到及时满足。
Solicits group, individual, banquet and other function business directly and jointly with others through the execution of the action plan.

Provides after-sales service and in particular to ensure all guests complaints are taken seriously and discussed with the respective departments if necessary.

Receives in the hotel any important guests whom he has approached.

Negotiates prices with the clients.

Ensures that all complaints are reviewed, investigated and follow-up action is initiated.

As directed, compile and input market intelligence information.

Public Relations Responsibilites 公共关系职责

At all times to promote a positive image of the hotel in all forms of contact.

To develop & foster close and positive rapport with the public, guests, clients and members of the trade.

The inspired meeting planner maintains and ensures the smooth running operation of all his/her accounts within the Commercial Section.

External Liaisons 外部联络

The inspired meeting planner maintains a close working rapport with professional people, the press, media, and staff, clients/guests and companies who are potential existing and current supporters of the hotel.
与专业人事、新闻媒体、客户和对饭店有帮助及存在潜力的公司保持紧密的工作关系。

Activities outside his/her own area and to publicize hotels other than his/her own for specific projects and/or programs.
