§ Performs duties common to all non-supervisory personnel in a timely and efficient manner in accordance with the Hotel policies.
§ Maintains professional business confidentiality.
§ Post all important memorandums on the bulletin board for information of all Front Office personnel. Notify the Rooms Division personnel of periodical meetings.
§ Take down and transcribe dictation and minutes of the Rooms Division Meetings.
§ Keeps a comprehensive filing system for the entire Rooms Division
§ Maintaining adequate stocks of office supplies and issues stock requisitions for the Director of Rooms’ approval.
§ Keeping own working area and Rooms Division office clean and tidy at all times so as to maintain a smooth work flow system.
§ Carries out any further duties and when required and assigned by the Director of Rooms.
§ Comply with hotel’s policies and procedures.
§ Sees to proper handling, usage and maintenance of office equipment and supplies; maintains cleanliness of the Rooms Division.
§ Types memorandums, letters, faxes, reports and other correspondence including those of confidential nature for the Director of Rooms.
§ Maintains proper records all memos and letters. Organizes and files documents in a systematic manner i.e. according to departments.
§ Answers and places telephone calls for superiors; arranges appointments for superiors and reminds him / her of it.
§ Opens, reads and sorts incoming mail for the department; dispatches and records outgoing mail.
§ Maintains adequate stock of office supplies; controls all stationary supplies for the department.
§ Well versed with personal computer and operates various computer software programs such as Windows, MS Office etc. in order to increase office efficiency.

§ Able to carry out routine functions and activities of the Rooms Division.
§ Interacts with suppliers / and members of the owning company / other colleagues as required.根据需要与客户及同事相互配合好。
